Microsoft 365 Cloud Services – Migration, Management, and Security
Microsoft’s own shared responsibility model makes it clear: they protect the infrastructure; protecting your data is your problem. We provide automated, daily Microsoft 365 backup of your entire environment – email, OneDrive, SharePoint, and Teams – with instant, granular recovery. Whether you call it Microsoft 365 backup or Office 365 backup, the protection is the same – because the risk of losing your data is very real.
The Backup You Think You Have – You Probably Don't
Most businesses assume Microsoft backs up their data
They don't. Microsoft provides basic retention and recoverability, but they explicitly state in their shared responsibility model that data protection is the customer's responsibility.
Deleted files disappear
If a user permanently deletes an email or a SharePoint document – accidentally or maliciously – Microsoft's recycle bin has a limited retention window. After that, the data is gone.
Ransomware doesn't care where your files are
Cloud storage syncs in both directions. If a device is encrypted by ransomware, those encrypted files can sync to OneDrive and SharePoint – overwriting your good copies.
Ex-employees take data with them
When you delete a user's Microsoft 365 account, their mailbox, OneDrive, and personal SharePoint data are deleted after a retention period. Without backup, that institutional knowledge is lost.
Compliance requires it
GDPR, Cyber Essentials, and many industry regulations require you to demonstrate that data can be recovered. If you can't, you have a compliance gap.

Microsoft 365 Backup vs Microsoft Retention — What’s the Difference?
Why Microsoft’s Built-In Retention Is Not a Backup
This is the most common misconception we encounter. Microsoft provides retention and recoverability – not backup. Here’s how they differ:
Microsoft 365 Retention (Built-In)
Microsoft 365 Backup (Our Service)
Purpose
Temporary recycle bin for accidental deletion
Full data protection and disaster recovery
Retention period
30–93 days depending on service
Up to 12 months (longer on request)
Ransomware protection
Limited – encrypted files can sync to cloud
Full – restore to any pre-attack point
Ex-employee data
Deleted after account removal + retention period
Preserved indefinitely
Granular recovery
Limited – basic recycle bin only
Full – restore individual emails, files, or entire mailboxes
Compliance evidence
Insufficient for most frameworks
GDPR, Cyber Essentials, and ISO 27001 compliant
Storage location
Same Microsoft tenant
Independent, UK-based encrypted cloud storage
If someone deletes a mailbox, a critical SharePoint site, or an entire OneDrive folder – and you don’t notice until 4 months later – Microsoft’s retention won’t help you. Microsoft 365 backup will.

FAQ
Common Questions About Microsoft 365 Backup
Doesn't Microsoft already back up my data?
No. Microsoft protects the infrastructure – availability, uptime, and geo-redundancy. But they explicitly state that protecting your data (from accidental deletion, malicious action, ransomware, and retention gaps) is your responsibility.
How often are backups taken?
Daily. Each backup captures a point-in-time snapshot of your entire Microsoft 365 environment.
Where is the backup stored?
In UK-based, encrypted cloud storage. Completely separate from your Microsoft 365 tenant – so if your tenant is compromised, your backup is safe.
How far back can I recover data?
We retain backups for up to 12 months by default. Longer retention periods are available on request.
Can I recover a single email?
Yes. We provide granular recovery – down to a single email, file, or SharePoint item. You don't have to restore everything to get one thing back.
What happens when we delete a user's account?
Without backup, their data is permanently deleted after Microsoft's retention period (typically 30 days). With our backup, their data is preserved and recoverable for as long as you need.
How much does Microsoft 365 backup cost?
Backup is included in our Standard and Premium managed IT support plans. For standalone backup services, pricing is per user, per month – contact us for a quote.
